How to Handle Tenant Odor Complaints Professionally

Odor complaints from current tenants are one of the more delicate issues in property management. Handle them too slowly and you have a habitability dispute. Handle them incorrectly and you have a bigger problem than you started with.

Step 1 โ€” Take the Complaint Seriously and Document It

In California, a landlord's failure to address habitability issues โ€” including severe persistent odors from mold, sewage, or biological sources โ€” can expose you to rent withholding, repair-and-deduct, or habitability claims. When a tenant reports an odor complaint: acknowledge it in writing and give a response timeline, schedule an inspection within 24-48 hours for urgent issues, and document everything including dates and what you observed.

Step 2 โ€” Identify the Source Before Committing to Treatment

The most common mistake when responding to odor complaints is ordering a cleaning or treatment before understanding what the source actually is. This wastes money and often makes the situation worse. On inspection, identify whether the odor is coming from within the unit or from an adjacent unit or building system, and check HVAC โ€” many odor complaints that seem to come from the unit are actually HVAC-distributed from another source.

Common Complaint Sources and Responses

  • Neighbor pet odor through shared walls or vents: HVAC inspection, possibly duct cleaning
  • Mold or mildew odor: Find moisture source first โ€” this may be a habitability issue requiring prompt action
