Odor Removal Checklist for Property Managers in Orange County

Managing odor issues in rental units is one of the most time-sensitive aspects of property management. Every day a unit sits with unresolved odor is a day of vacancy cost. This checklist covers what to inspect, document, and remediate โ in the right order.
Move-Out Inspection Checklist
- Conduct a smell test at the front door before entering
- Identify dominant odor type: pet, smoke, cooking, mildew, biological, or combination
- Photograph all visible stains, wall marking, and damage before cleaning begins
- UV flashlight inspection of all carpet areas โ mark all glowing spots before lights come back on
- Check baseboards and lower walls for pet marking
- Peel back carpet corner in highest-odor areas โ assess padding color and smell
- Check all closets โ they are often neglected and hold odors strongly
- Inspect HVAC filter โ a heavily loaded filter must be replaced before any treatment
Documentation Checklist
- Written move-out inspection report with odor notes by room
- Photographs of all contaminated areas before any cleaning or treatment
- Professional service report from odor removal vendor with before-and-after air quality readings
- Receipts for carpet, padding, or materials replaced due to odor damage
- All documentation kept in tenant file for 21+ days post move-out
Remediation Decision Checklist
- Surface odor only: enzyme treatment plus ozone treatment
- Padding contaminated: padding replacement plus ozone treatment
- Subfloor contaminated: subfloor sealing or replacement plus new padding plus carpet plus ozone
- Smoke odor: TSP wall wash plus shellac primer plus paint plus ozone plus HVAC filter replacement
